We are looking for an experienced and organized Project Assistant to join our team. The ideal candidate will have a strong background in project management and be able to provide administrative support to the project team. Responsibilities include coordinating meetings, managing project documents, tracking progress, and providing general administrative assistance. The successful candidate must be able to work independently and have excellent communication and organizational skills.

Responsibilities:

  • Maintain a centralized system to manage project information.
  • Collaborate with project field offices to ensure effective communication and coordination throughout the project lifecycle
  • Assist with the preparation of reports, presentations, and other materials related to the project.
  • Provide administrative support to the project team.
  • Monitor project progress and provide updates to the project manager.
  • Monitoring project status and developing and updating the scope, schedule, as needed.
  • Assist Project Manager in maintaining an accurate employee rotation schedule;
  • Review rotation schedule on a daily basis and work closely with travel agents to arrange flights and accommodations for inbound and outbound employees;
  • Maintain data tracking systems for job costing and budgeting, safety and labour reporting, contact lists.
  • Maintain equipment records to track daily/monthly usage, maintenance, service scheduling.
  • Work closely with Human Resources to ensure efficient onboarding of new personnel.
  • Prepare field timesheets and review bi-weekly payroll report for accuracy;
  • Creating status reports and providing them to the project team.
  • Coordinating with different departments as needed.
  • Completing any related tasks assigned by the Project Lead in an efficient and timely manner.
  • Establish and maintain effective working relationships with a variety of internal and external contacts.
  • Provide advice and assistance on matters related to the work.
  • Communicate effectively orally and in writing.
  • Perform assigned duties with minimal supervision when required
  • Maintain confidentiality.
  • The position will report to: General Manager

REQUIREMENTS:

  • Post-secondary education an asset.
  • 1-4 years of experience in a project support role.
  • Strong attention to detail and ability to check one's own work to ensure quality
  • Well-developed interpersonal and communication skills with a strong collaborative and cooperative approach.
  • Demonstrated resourcefulness and the ability to work as an effective team member.
  • Strong competency in Microsoft products including Word, PowerPoint, with advanced knowledge of Excel.
  • Knowledge of document control processes.
  • Full understanding of confidentiality requirements and processes for documents and correspondence
  • Demonstrated ability to function independently, take initiative and function with a high degree of professionalism.
  • Ability to prioritize conflicting demands.
  • Ability to multi-task and work within a fast-paced environment while remaining flexible and steadfast.
