Logistics Coordinator Job at TOTAL CART MANAGEMENT

TOTAL CART MANAGEMENT Mississauga, ON

Responsible for, but not limited to the following:

1. Reviewing, confirming and arranging ocean container bookings
-co-ordinate with overseas team, reviewing and confirming CLP’s
-review and confirm vessel booking details
-track and trace ocean shipments
-obtain monthly FCL/LCL ocean rates from 3PL providers

2. Obtaining and reviewing shipping documentation, for accuracy and providing required documents to freight forwarders, for customs clearance, and for reconciliation
-modify / correct packing sequences / pro-forma invoice/ as required
-obtain / create / and edit packing slips
-working with customs brokers and third parties to provide required documents (3x per week or as needed)
-confirming that ISF filing documents are accurate and provided in the required timeframe (per shipment
-follow up with factory as required to obtain necessary documentation (telex release BOL, Form A etc.), corrections

3. Reviewing, confirming and arranging inland freight transportation of BYOB orders
- planning and coordinating with third party warehouse to move freight to customer and meet required customer deadlines
-obtaining quotes and securing booking appointments, updating freight cost by packing list
-obtain weekly Fuel Surcharge Rates

4. Arranging/Coordinating customer delivery appointments
- Contact carrier representative to make arrangements and to issue shipping instructions and delivery of goods
- follow up/ coordinate with the forwarder to ensure delivery has taken place
- obtaining BOL’s, packing slips, updated customer PO’s and POD’s for all shipments

5. Obtaining Freight Quotes
- obtaining necessary details from sales/ops to gather freight quote information for ground and air freight (daily)
- Reviewing freight invoices and making sure we have all documentation required to invoice customers

6. Record Keeping
- updating and recording shipping status details for each order on a centralized shared document
- in a centralized location keep records of all shipment documents organized by FOB and Container #
- maintain and update freight transportation matrix with accurate rates
- maintain a list of customer standard palletization requirements
- obtain and update in a centralized location customer routing guides and requirements
- maintain shipment data such as standard item carton dimensions / weight
- keeping track of outstanding document requests, and outstanding balances in third party locations
- maintain / update list of Duty Rates and Tariff numbers by BYOB product

7. Communication
- provide clear communication between sales team, operations, overseas team & custom’s brokers regarding ongoing shipment requirements, issues
- provide updates as required to sales team regarding order status / delays / document change requirements to facilitate and arrange deliveries
- update team of any issues (such as but not limited to - weather, port/rail strikes, delays, custom’s holds) that have the potential, or have been determined will impact meeting the customer required deadlines

Other Requirements:

  • Experience in freight logistics (ocean and ground)
  • Must be organised and logical, willing to adapt quickly to changing policies and procedures.
  • Must be able to work in a fast paced and pressured environment, communicating effectively with both colleagues and clients and following verbal and written instructions.
  • Must be able to work as part of a team, developing constructive and cooperative working relationships as well as cross-functionally
  • Cross trained to provide back up for accounting admin functions (ie) Create / Edit / Adjust packing slips and purchase orders)
  • Adhere to shipping/receiving and regulatory-compliance procedures
  • Comply with laws, regulations and standards
  • Efficiently solve problems relating to cost and transportation of goods in locations both national and overseas.
  • Rectify problems such as damages, shortages and non-conformance to specifications
  • Document and escalate any customer service issues and/or shipping/receiving errors
  • Must have a very good working knowledge and experience with Microsoft Excel
  • Learn to use software such as "Smart Border" to create custom's paperwork when necessary
  • Source and utilize various transportation management software
