Forms Analyst Office and Supply Coordinator Job at PHSA

Reporting to the Manager of Corporate Administration, the Forms Analyst/Office and Supply Coordinator, provides technical forms development and management, as well as administration services for BCEHS and other areas of the PHSA. This role also provides facilities support services and office supply management.
The position will use computerized business application system skills to ensure timely development of forms required for daily business operations, as well as timely maintenance of facilities, equipment, supplies and services needed for day to day operations.
What you’ll do
Forms Analyst:
- Design, develop, produce and test existing and/or new electronic and paper forms.
- Use dedicated form development software to develop electronically fillable forms, ensuring forms are formatted and designed within established format standards and graphic design rules.
- Analyse form requirements in the forms management environment.
- Consult with client groups to provide technical advice on electronic forms design, and validate requirements for changes to business processes within the context of forms.
- Ensure compliance to policies and procedures relating to the collection, use and disclosure of personal information per FOIPPA.
- Provide ongoing technical support, monitor inventory and initiate orders of BCEHS printed forms and envelopes.
Office and Supply Coordinator:
- Receive requests related to building operations including plumbing, electrical, heating and ventilation systems, open work orders with Workplace Solutions Inc. (WSI), and ensure the repairs/services are completed as expected and in a timely manner. Escalate issues to the Facilities Coordinator if building maintenance is not able to resolve the issue or the work was not completed as expected.
- Act as point of contact for, and escort vendors and trades-people around the site for repairs, installing boards, pictures, and keyboard trays, and for delivery of new furniture, often coordinating one work order for multiple facility repairs.
- Using the work order system, maintain all service and repair records.
- Monitor and maintain office supplies inventory for all departments at the worksite by placing orders from approved vendors.
- Use corporate purchasing card to purchase office supplies and minor furniture and desk accessories
- Ensure furniture acquisitions are cost effective by checking internal furniture inventories, asset disposal services for surplus furniture, or by obtaining quotes from external vendors.
- Act as site contact and oversee the transfer to storage or disposal of furniture and office equipment.
- Participate on the office Occupational Safety and Health committee, and respond to concerns raised by the committee about building safety issues, by advising the landlord or maintenance vendor and ensuring appropriate and timely action is taken to mitigate the issue.
- Perform other related duties as assigned.
What you bring
- Grade 12, graduation from a recognized secretarial program, including completion of graphic design courses, plus three years recent related experience or an equivalent combination of education, training and experience.
- Ability to keyboard 60 w.p.m.
- Ability to communicate effectively, both orally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to organize work.
- Ability to operate related equipment.
