Job Summary
The Capacity Research Unit in the UBC-Vancouver School of Nursing is co-leading a community-based research project with community partner organizations in four sites across Canada including the Central Okanagan, titled “Scaling up Trauma and Violence-Informed Outreach with Women Affected by Violence.” This project is testing the effectiveness of women-led and strengths-based approaches to outreach and one-on-one individualized support to benefit women living in those communities. This project is designed to support women to engage with outreach teams in safe, respectful ways that foster trust and engagement with health and social care services. This project adheres to the principles of strengths based, trauma informed, women led and non-judgmental.
The Community Research Coordinator for the Central Okanagan site is the primary community contact for the project, and will work collaboratively with the Principal Investigator and the community lead organization, Central Okanagan Elizabeth Fry Society (COEFS). The Coordinator functions at the interface among the Research and Community Leads and the outreach interventionists and provides coordination of communication and shared work processes for the site-based team. This position is responsible for building connections and awareness in the community about the project, maintaining records of work activities, data collection with research participants, and working with the research team to ensure the outreach intervention is implemented according to study protocols.
The Coordinator provides mentorship and support to a team of outreach interventionists to support women in the community who are participating in this study. The coordinator will also facilitate recruitment, conduct participant informed consent, enrollment and ongoing data collection, and contribute to the overall implementation of the project, including intervention fidelity as per the registered protocol. A component of this position involves maintaining records of work activities, and working with the research team to analyze the effectiveness of the program. This will be done with as minimal impact as possible to the women participating in the project.
To support the implementation of the research activities in the Central Okanagan site, this coordinator will be primarily located in Kelowna in a shared office space within the Central Okanagan Elizabeth Fry Society. Some remote work and travel to Vancouver for research meetings may be required.

Organizational Status
This position reports directly to the Principal Investigator (or delegate) at UBC-Vancouver. As a key member of the project team, the Coordinator works closely and collaboratively with the Principal Investigator and Community Lead, COEFS.

Work Performed
Data Collection & Management
  • Finalize project documentation in collaboration with the Research Manager and Principal Investigator
  • Work with manager on ethics board submissions
  • Build awareness in the community about the project; prepare presentations to community organizations and respond to queries about the project
  • Meet individually with potential participants to offer informed consent and enrollment in the research study
  • In adherence to study protocols and timelines, schedule and conduct data collection with enrolled participants including surveys and in-depth interviews.
  • Track participant progress and data milestones (e.g., dates for surveys and outreach interventionist check-ins with enrolled participants)
  • Review outreach documentation data, looking for consistency, coherence and complete documentation of outreach activities
  • Report to Principal Investigator (or delegate) regarding data quality, documentation concerns, timelines, and any troubleshooting needed
  • Contribute to the preparation of various reports and support the development of academic papers, presentations, and funding applications
Support for Intervention Implementation
  • Work collaboratively with outreach interventionists to plan, carry out, document and review work activities;
  • Provide mentorship and support development with outreach interventionists through scheduled and impromptu discussions
  • Maintain and adapt the Scaling Up training plan and materials for outreach team for any site-specific needs to respond to identified and emerging needs, in collaboration with Principal Investigator (or delegate) and Community Lead
  • Support outreach interventionists with professional development needs, applying intervention training materials to daily activities
  • Facilitate regularly scheduled meetings with outreach interventionists to review participant progress, key data milestones, etc.
  • Provide feedback on data documentation, specific to each outreach interventionist and the participants with whom they are working
  • Actively support outreach interventionists during their work days by providing on the ground support as needed, including check-ins and on the ground assistance as required
  • Facilitate crisis support to outreach team and participants with the assistance of the Community Lead
  • Liaise with Principal Investigator (or delegate) and Community Lead regarding outreach interventionists support needs, workload, emerging concerns regarding participants’ progress or support needs, etc.
  • Work collaboratively with Community Leadership and staff to facilitate enrolled women’s access to additional supports and services as required
  • Support outreach team to communicate with other community organizations when additional supports are needed for enrolled participants
  • Coordinate scheduling, room booking and facilitation, and document decisions reached during various ongoing meetings, including but not limited to:
    • Site Research Team (including Community Lead, Research Manager, Site Research Lead, Community Research Coordinator, and outreach interventionists),
    • Outreach Intervention Team (including Community Research Coordinator and outreach interventionists)
    • Community Advisory Committee (when applicable)
  • Participate in Community Advisory Committee meetings, sharing study progress as appropriate (when applicable)
  • Ensure appropriate resources for outreach interventionists to undertake their activities (e.g., petty cash, cellphones, laptops, etc.)
  • Troubleshoot complex issues with scheduling and implementation of research and intervention processes
  • Report study implementation challenges and if applicable, ideas for addressing challenges, to the Principal Investigator (or delegate) in a timely manner
  • Prepare and submit regular progress reports to the Principal Investigator (or delegate) and Community Lead
  • Comply with policies and procedures of UBC and the Community Lead organization
  • Comply with the research project protocol, and provide leadership and guidance with the community lead organization and outreach interventionists to ensure fidelity to protocol
  • Participate in professional development opportunities as required
  • Perform other related duties as required

Consequence of Error/Judgement
Errors or incorrect decisions could potentially result in delays in completing the project or seriously compromise the quality of the research. In addition, if established protocols related to privacy, confidentiality, and safety are not followed confidentiality about sensitive information related to research participants’ personal health and experiences could be breached. If protocols are not followed in the community settings in which we are collecting data, our research partnerships with these communities could be seriously jeopardized, preventing us from proceeding with the study.

Supervision Received
The Coordinator will work with minimum supervision, receiving specific instructions on unusual or complex problems, exercising a considerable amount of autonomy, discretion, and initiative in determining work procedures and methods. Progress, goals and objectives will be reviewed throughout the year.
Supervision Given
This position has no formal supervisory responsibilities. The coordinator will, however, provide leadership, training and guidance to outreach interventionists working on the project.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.
