Duties

This selection process will be used to fill duties in various administrative positions. The duties of these positions generally consist in the provision and coordination of administration services, in one or more administrative fields, to a Branch or Unit to facilitate effective program delivery.

Note: Administrative fields may include administration, human resources, finance and/or other general administrative services.

Administrative support responsibilities, including but are not limited to:

  • Assist the unit Head/Director General (DG) by examining, analyzing, coordinating, prioritizing and organizing the administrative support work for the Branch;
  • Prepare and process various administration requests such as training, human resources, official languages, accommodation, office equipment, information and technology, security and strategic planning;
  • Provide the DG with relevant and useful data (ex: budget, performance evaluation, training, human resources, etc.) by developing and maintaining various systems;
  • Liaise with managers/employees on expenditures by ensuring that they comply with policies and regulations and that funds are available;
  • Act as a resource person by providing advice and policy interpretation to managers, employees and external candidates;
  • Plan and coordinate the logistics related to meeting schedules, conferences, workshops, travel and other major events the DG's appointments by scheduling/ rescheduling meetings according to priorities, compiling any background information required or that would be beneficial;
  • Compose and draft written replies on behalf of the DG and review for quality and accuracy outgoing correspondence prepared by others for the DG;
  • Receive, track and maintain various hard copy and electronic documents;
  • Filling out documents and forms, entering basic data in departmental record systems, receiving and storing files, ensuring the confidentiality of sensitive information; and
  • Coordinate and control the flow of information in and out of the assigned work unit (correspondence, telephone calls, email and queries).

Intent of the process

The positions for this process are based in Ottawa. In accordance with INFC’s hybrid work model, employees hired within their position’s geographic work location are currently required to work in the office for 40% of their scheduled work hours, each month (e.g. approximately 2 days a week).
